SIMA is excited to work with you as an exhibitor for the 17th Annual Snow & Ice Symposium! This web page should provide most of the information you will need to order booth materials, set deadlines, and have a great show with us. For an updated list of deadlines, go here.

In order to have a positive move in/out, installation and show, please read through all of the following information very carefully, as there are several items that must be accomplished prior to your arrival in Columbus, OH. Click any link on the left for more information.

INSTALLATION DATES & TIMES  
EXHIBITOR INSTALL FOR BOOTHS 400 sq.ft. OR LARGER: Tuesday June 17, 2014 | Noon-5:00PM
EXHIBITORS THAT HAVE LESS THAN 400 sq.ft.: Wednesday June 18, 2014 | 8:00AM-5:00PM
  • All crates and empty boxes MUST be off of the show floor by the close of installation
DISMANTLING  
Exhibitors must dismantle their booths on:ALK  LK Friday, June 20, 2014 | 12:30 pm - 6:00 pm
  • All freight carriers must check in at the Paramount Convention Services service desk by 6:00 PM on Friday, June 20, 2014 or your freight will be re-consigned onto the show carrier.
  • PCS will begin returning empty containers as soon as the aisle carpet is removed from the exhibit floor.

Oversized Truck/Trailer Parking

If you need to park a large trailer or semi-truck/trailer during the length of the show, please contact Leigh Everett. You must notify this contact by 5/1/2014 about your oversize parking needs.

Name Badges, Access & Ticketed Events

Exhibitors must register for name badges prior to the show. The deadline for pre-registration is June 11, 2014. To register, click here now.

All representatives at your booth must have a SIMA issued name badge to be allowed access to the exhibit hall. Each exhibiting company can receive up to two (2) full registration name badges for the Symposium and four (4) trade show only name badges. The full registration allows access to all parts of the Symposium, with the exception of the ticketed events. The 'trade show only' badges allow access to the exhibit floor only.

Ticketed events, including the Awards Banquet and Closing Event, may be purchased for 'full registration' representatives only. SIMA encourages you to sign up for these events, as they give you more opportunities to network with attendees. Due to demand, Exhibitors are unable to register for the pre-conference event.

All representatives from your company, provided that they have a name badge, are welcome to attend the Membership Meeting and Welcome Reception on Wednesday evening!

Paramount Convention Services

Paramount Convention Services is proudly serving again as the exhibitor service provider, click here for the Service Kit.

  • Each booth is equipped with 3' side pipe & drape, 8' back pipe & drape and 1 identification sign with your company name.
  • Additional equipment, including furniture, carpeting, internet, A/V, electric, etc. can be ordered through the exhibitor service kit.

Certified Weight Tickets: All uncrated/unskidded machinery equipment MUST have a certified weight ticket prior to arriving at the Columbus Convention Center. SIMA appreciates your cooperation.

Security Personnel

SIMA will be providing security for the trade show hall during non-trade show hours, starting the evening of Tuesday, June 17th. Please note that there will not be a security guard in the loading dock area, so any materials should be accompanied by a member of your team to ensure security of your property. SIMA is not responsible for lost or stolen property.

Exhibitor Door Prize Policy & Publicity

Each SIMA exhibiting company is welcomed and encouraged to run door prize programs at their booth. SIMA will feature a list of exhibitors offering door prizes in the Symposium Extra publication, provided to all show attendees. To be included on this list, please email your company name, booth number and a short description (50 words or less) of the door prize to Brian Birch at Brian@sima.org by April 15, 2014.
 
Each exhibiting company is fully-responsible for administering their own door prize program. SIMA is not responsible for administering any part of an exhibitor-run door prize program during or after the Symposium including, but not limited to, verbal announcements of winners, and delivery of prizes.

VIP Trade Show Passes

SIMA is again offering free VIP trade show passes for exhibitors to distribute to their customers (These passes are not to be used for exhibitor company employees). The trade show passes allow access to the trade show floor of the Symposium only and each pass is only good for one day of the trade show.

Passes will be distributed electronically (via email including a PDF for you to forward along to customers or print/mail) starting May 1, 2014. Please email Heather Carew with your request for VIP passes.

Insurance Requirements / Certificate of Insurance

All exhibitors must provide SIMA with a Certificate of Insurance, naming SIMA as additional insured on their general liability policy with a $1 million umbrella, listing  the dates of the show (June 18-21st, 2014) by April 1, 2014. Please have your insurance agent fax the certificate to SIMA at 414-375-1945, email to Laura Poll at SIMA, or mail to the SIMA Office at 7670 N. Port Washington Rd, Suite 105, Milwaukee, WI  53217. Please ensure that the coverage lasts through June 21st, 2014!

Trade show / floor traffic

SIMA does everything possible to encourage attendees to attend the trade show floor, stay for longer periods of time, and circulate through the floor. Here are our plans for 2014:

  • Thursday early afternoon: SIMA will offer free beer and soft drinks for attendees on the floor on Thursday
  • Thursday afternoon: SIMA will open the Best Practices Pavillion at the rear of the hall to help educate/train professionals on snow industry Best Practices
  • Friday Morning: There will be a keynote address on the floor from 8:00 am - 9:30 am, with the trade show officially opening at 9:30 am.
  • Friday mid-Morning: SIMA will serve free breakfast on the floor in four food stations
  • Friday give-away: SIMA will raffle off three (3) "Cash for the Weekend" $100 cash prizes at 10:30 am, 11:30 am, and 12:30 pm.  Winners must be present to win

Exhibitor Comfort and Free Lunch

As part of our committment to making the show the best possible experience we can for you, SIMA is providing the following for exhibitors to ensure that you are not distracted by hunger:

  • During trade show hours, exhibitors can use the Exhibitor Lounge on the trade show floor to  relax and eat, or bring key potential clients to a quieter space to talk business.
  • Thursday from 11:30 am until 12:45 pm, SIMA will provide free lunch for exhibitors in the Exhibitors Lounge.
  • Free breakfast on the trade show floor on Friday (available to all attendees & exhibitors).

OH Sales Tax

If you are planning to sell product directly on the trade show floor, your company is solely responsible for following all guidelines and laws regarding sales tax in the state of Ohio. Please refer to http://www.tax.ohio.gov/sales_and_use/rate_changes.aspx for updated information.
